Event Registration Attendance Tracking By Field - Help Desk Version


Event Registration offers a convenient way to track attendance and credit hours for specific fields within your event. Here's how you can set it up:


1. Configure General Options: In the 'MMS Configuration' > 'Event Registration Configuration' section, under the 'General Options' tab, you'll find two important settings:

   - Enable CEU Tracking by Event Field: Check this box if you want to track credit hours for your events. You can add up to three different types of CEUs.

   - Enable Attendance Tracking By Event Field: Check this box to track attendance for designated fields within your event.


2. Set Up Attendance Tracking Fields: When creating or editing a registration, go to the 'Add/Change Event Fields' page (page 3 of 4). Here, you can add the fields you want to track attendance for. For each field:

   - Check the 'Enable Attendance Tracking for Field' checkbox to activate attendance tracking.

   - If you enabled CEU tracking, you can assign credit hours for each option within the field.

   - Use checkboxes and selection fields for the best attendance tracking experience.


3. Optional: Restricted Fields: You can set up fields to track attendance without requiring attendees to sign up for them during registration. Marking a field as 'Restricted' hides it during registration but allows you to add attendees to it later.


4. Track Attendance: Once fields are set up and attendees have registered, you can start tracking attendance. Go to the main event registration list, click 'edit' next to the desired event, and click 'View/Edit Field Attendance' at the top left.

   - Choose either a field or an individual attendee to track attendance.

   - The page will display the fields set up for tracking attendance and the ones the attendee signed up for during registration.

   - Click the 'plus' icon to record attendance for a field. The system will automatically award specified credits, but you can override this if needed. Attendance can be removed by clicking the 'X' icon.


5. Generate Transcripts: After collecting attendance information, you can generate transcripts for attendees. There are multiple ways to do this:

   - 'All Event Reporting' Page: On the main event list, click 'All Event Reporting' to access the 'Batch Transcripts' report. Specify an attendee and download a .zip file of all their event transcripts within a selected time period.

   - Attendee Listing: On the main event attendee listing, an icon for transcripts will appear if enabled. Click it to view an individual attendee's transcript for the event.

   - Broadcast Emails: When sending a broadcast email to attendees, you can attach transcripts (if applicable) and narrow down the recipients to those eligible to receive a transcript.
