RFP Help Desk - Topics/Committees
To make the proposal system work, you need to create at least one topic/committee.
When setting up an RFP for the first time, follow these steps:
1. Click the "Add New Committee/Topic" link.
After creating your first Topic Committee, you'll see a set of functions associated with it:
- Edit: This link allows you to go back to the page where you created the topic. You can modify options and assign committee members if needed.
- Scoring Assignments: This link provides a list of scoring assignments for all proposals in this topic/committee. You can track who has completed their assignments and remove any pending assignments. Admin has the authority to remove scoring assignments created by chairmen, which will affect the proposal's total and average scores based on the remaining assignments.
Below the "Add New Committee/Topic" link, you will find three new lines:
1. View Proposals by Committee/Topic:
- Lists proposals organized by topic/committee.
- Chairmen and committee members are linked, allowing you to contact them via email.
- You can also email all members by clicking the appropriate link.
- Columns display the proposal name, submission date, current stage (accepted, rejected), average score, and final status.
- Hovering over elements on this page will provide helpful tooltips.
2. Assign Reviewers to Committees by Topic Choice:
- This line appears only if the Member's Area Reviewer Choice option is enabled.
- Manually assign members as chairmen and committee members based on their preferred topics.
- The page includes an "Auto Assign" function if the Subject Closure Option is turned on in the RFP Setup.
- Auto Assign groups members who expressed interest in being a committee member for a particular topic.
- Within each group, the topic/committee name and the number of submitted proposals are displayed.
- Members are listed based on their choices and sorted alphabetically.
- A fourth group consists of members assigned by admin, who did not choose the topic.
- Checkbox in the second column indicates interest in being a committee chair.
- Checkbox in the third column assigns them as a committee member.
- Grey highlighted names are already assigned to a committee.
- Clicking a member's name takes you to the Report of Reviewer's Topic Choices.
3. Report of Reviewers Topic Choices:
- This line appears only if the Member's Area Reviewer Choice option is enabled.
- An alphabetical report of members who signed up for at least one committee.
- The report displays members' names and their 1st, 2nd, and 3rd choices.
- Blue border indicates a chairman role, while grey highlighting indicates a committee member.
- Clicking a member's name from the Assign Reviewers to Committees by Topic Choice page highlights them in pink on this report.
