List Management


Managing multiple lists of email recipients can be challenging. Fortunately, the MMS provides various features to help you efficiently manage your members and their lists within your membership.


Membership Plans:

Membership plans are used to categorize different types of members and determine their dues amounts. Each record can only be assigned to one plan. You can add recipients based on individual plans, all full member plans (including all members), all non-full member plans (non-members), or all plans (everyone).


Status:

By default, when using Membership Plans to send messages, only members with an 'Active' status will be added to the recipients list. If you want to include recipients with different statuses, you can use the 'Status?' field to specify additional statuses.


Built-in Lists:

These lists help determine who receives specific publications. If you regularly use these lists for sending messages, removing someone is as simple as unchecking the appropriate list (or the member can log in and uncheck themselves). Here's how these lists are typically used:


- Email List (members@): Used for general announcements.

- Newsletter: Members who receive printed/mailed newsletters.

- E-Newsletter (newsletter@): Members who receive electronic newsletters.

- Prospects (prospects@): Non-members who receive messages intended for prospective members.

- Board (board@): Board members/officers of your organization.


By Other Grouping:

If the built-in email lists don't meet your communication needs, there are other groupings you can use to add recipients to the list. These groupings include:


- Committees

- Committee Officers

- Join Date

- Business Category

- Street, City, State, or Zip/Postal

- County/Region

- Custom Field

- Email

- Certification

- Event Registration - Email Invitation

- Event Registration - Registered for Event

- Event Registration - Invited to Event

- Event Registration - RSVP

- Calendar - Invitation Responses

- Custom Report

- Volunteer Session

- Volunteer Opportunity

- Advanced Search


By utilizing these list management features, you can easily send broadcast messages, newsletters, and other emails to specific groups of recipients based on their inclusion in various lists.
