Recording Payments - Help Desk Explanation


Online Dues Payment:


- When new members sign up online and pay their dues online using a merchant account or PayPal, the payment is automatically recorded in the billing system.

- Existing members who choose to renew online also have their payments automatically recorded.


Payment Options for Members:


- Members can renew and pay dues after receiving an invoice email, which includes links to renew and pay online or cancel.

- Members can also pay renewal dues and other invoices within the members' area. If they have unpaid invoices, a "Pay Membership Dues/Fees" link is available under My Membership.


Avoiding Confusion:


- It's important to provide clear instructions on your public website for joining online and renewing for existing members. This helps prevent existing members from accidentally trying to pay renewal dues by joining as new members, which can create duplicate records.

- Include information about how to renew in areas where people can join, such as mentioning email renewal notifications, logging into the members' area, or providing instructions for check payments.

- To avoid confusion, consider offering a link for members to request a re-sent invoice if they lose the renewal email. This link can be found in MMS Config under system links. Look for Renewal Invoice Request.


Manual Entry (Check Payments):


- When members pay dues by check, it's crucial to enter these payments into the system manually. You can do this by selecting "Enter Payment" from the Renewal System menu. After selecting the member, enter the payment amount.


Manual Entry (Credit Card Payments):


- Organizations using Authorize.net as a merchant account gateway have the option to process credit card transactions from the member billing system. Look for "Process Payment via Authorize.net".


Members Area Widgets:


- If your organization is using the V6 Custom Member Menu, you can add a widget to the members' area that displays the member's current balance due. If the balance is greater than zero, the widget will contain a button for members to pay their dues.
