RFP - Edit Request - Page 1: Customizing Your RFP


Request Name:

This is the title of your RFP and will be displayed on public and member pages as the main title. It will also appear in notification emails sent to admins, chairmen, committee members, and presenters who submit proposals.


Description:

The description will be shown on the public page where presenters first land when they follow the submission link.


Request Type:

- Standard: Default setting for regular proposals.

- Journal: For proposals intended for publication, with specialized email and submission page content. Allows generating a PDF document containing abstracts of the submissions.

- Convention: For conference proposals, including webpage and PDF publication with specific details like dates, times, and seminar information based on the submitted proposals. Includes title, authors, abstract, and links to documents or images for publication.


Alternate word or phrase:

Change the system name from "Proposal Submission" to a preferred alternative. Note that multiple RFP displays will still show the default name.


Submission Period Begin & End:

Specify the dates when the submission process opens and closes.


Primary Presenter Member Status:

Choose who is eligible to make a submission:

- Open to the Public: Anyone can submit.

- Must be a Member: Only authenticated members can submit.

- Must be Paid Up: Only authenticated members who are up-to-date with their dues can submit.

- Fee for Proposal Submission: Submitters will be prompted to pay a fee before starting their submission.


Paid Member Application Mode:

Do Not Offer Login


Hide Contact Fields:

This setting hides address, phone, and fax fields from the first page of the submission process, keeping only the primary presenter's name, employer, and email. Co-presenter fields are unaffected.


Hide Title/Abstract:

Hide or show the title and abstract fields for submitters:

- Title: A 120-character textbox for the proposal's title.

- Abstract: A text area allowing a brief description of the presentation, proposal, or article (around 50-60 words).


Accept File Submissions:

Check this box to enable file uploads as part of the submission process. If unchecked, submitters can provide longer text entries.


Reference Document Collection:

Specify the number of references required, and the submission process will include a Reference tab to collect their names and email addresses.


Notification to Screener/Chair:

The email verbiage sent to chairmen/screeners when a proposal is submitted to their subject/topic, awaiting their attention. Also visible when they access the Proposal Review page.


Notification to Reviewer:

The email verbiage sent to committee members/scorers when a screener approves a proposal and assigns it to them for scoring. Also visible on the Proposal Review page.


Member Area Reviewer Option?:

Checking this box adds a link on the member's main page, inviting them to become committee members. They can select up to three topics to judge proposals from.


Topic Closure Option?:

If checked, this option provides configuration choices for topic/committee pages, allowing you to decide if a topic should remain open for choice, close automatically, or be closed manually.


Include Chair Interest Option?:

Adds a checkbox on the member's subject-committee signup page to indicate interest in chairing a committee. This indicator shows up only on the "Assign Reviewers to Topic Committees by Choice" page.


Message to Prospective Reviewers:

Displays a message on the member's signup page, informing them about committee responsibilities and what they are signing up for.


SET INACTIVE?:

Full admins can use this option to set the entire RFP to inactive status. This removes it from the member's area, deactivates submission pages, screening links for chairmen, scoring assignment links for committee members, and excludes it from the active RFP list. It will only
