RFP - Edit Request - Page 2: Proposal Types


To add a new proposal type, click on the "Add New Type" link. It is mandatory to have at least one type added. This will take you to the Add New Type/Edit page.


Add New Type/Edit page:

- Enter the name of your proposal type (required).

- Optionally, provide a description of your proposal type.


Committee assignment by admin:

- Selecting this option removes proposals of this type from the committee chairman's responsibilities.

- An email notification will be sent to the admin email specified on page one of the RFP setup for screening these proposals.

- Scoring assignments will still be handled by members of the respective committee. Refer to the admin screening/scoring assignment help page.


Once types are created, a list of functions will appear next to each type's name:

- The edit function allows you to modify the type's options during setup.

- The move up and move down links change the display order of the types here and during the submission process.


RFP - Edit Request - Page 3: Custom Fields


On this page, you can add up to 5 text fields for submitters to answer questions or provide comments about their proposals.


Additionally, you can add up to 15 checkboxes for yes/no style questions.


To add a field, simply type the question or instruction in the text box, and the system will include it in the submission process.


RFP - Edit Request - Page 4: Acceptance and Rejection Emails


Customize the email subjects and body text for acceptance and rejection letters sent to the primary presenter/submitter of the proposals.


The acceptance letter is sent when the proposal has completed the entire process and is finalized by the admin.


The rejection letter is sent either when the chairman or admin rejects the proposal during initial screening or when the proposal goes through the entire screening and scoring process but is rejected by the admin during finalization.


RFP - Edit Request - Page 5: Scoring Fields


This page allows you to include checkboxes for scoring opinions on yes/no type questions about the proposal. These opinions do not affect the total score.


You can also add scoring criteria, including descriptions of what is being measured and how to score the proposal based on these criteria. Each criterion has an associated point value indicating its weight in the overall scoring process.


For criteria with higher importance, assign a larger point range. Less significant criteria should have a smaller point range. This ensures appropriate weighting of criteria in the final average score.
