Invoice Documents - Help Desk Explanation


To ensure that your members are aware of their upcoming membership dues, the MMS provides various notification tools. One commonly used tool is printed invoice documents and statements.


Printed Invoice Documents:


- You can access printed invoices individually by clicking on the 'inv' links in any "View Transaction" view.

- If you need to print invoices in batches, you can use the "Renewal Notices" option in the Batch Printing section of the Billing Menu. Simply specify the date range, and invoices will be generated for all invoices within that range.

- These renewal notices (invoice documents) are designed to be used with windowed envelopes, but if you prefer, you can create mailing labels using the "Renewal Mailing Labels" option on the Renewals Menu.


Statements:


- The MMS has the capability to generate statements for members. These statements provide a detailed summary of transactions (invoices and payments) for a specific member within a given date range.

- Statements also include an aging summary, which shows how long unpaid invoices have been outstanding.

- To print statements, you can find the Statements option under Batch Printing in the Billing Menu. Alternatively, you can use the 'Create Statement' link in the member billing functions.
