Election Emails Help Desk Guide
You have two options for sending election emails to your active membership. The first option is through the email link on the last page of the Election Creation Wizard. The second option is to go to the Elections module in the Administrative area and click on the Email function (envelope icon) next to the specific election you want to notify people about.
Sending Elections - Page One: The Message
If you're familiar with our Broadcast Message System, this step should be easy. By default, the system will pre-fill a lot of the information for you.
Sender - Enter a friendly name, like "Jane Smith" or "2015 Organization Election."
Sender (Reply) Email - Provide the email address where voters can send their questions regarding this election.
Subject - Write a concise subject for the email.
Message - This is where you can add content, images, and links to generate interest about the election. Remember, this message will be sent via email, so keeping it simple is important.
Sending Elections - Page Two: Recipients
The recipients page is divided into two columns. The left column allows you to add recipients, while the right column shows the recipients already selected for this election.
You can add members in four ways:
1. Add Individuals - The first list displays all your members. Hold CTRL when clicking to select multiple members.
2. Add Individuals Based on Criteria - The second list shows a filtered member list based on the criteria you set up during the Election creation. Hold CTRL when clicking to select multiple members.
3. By Membership Plan/List - This list shows your created membership plans. Select a plan to add the members currently part of it.
4. By Project/Committee - If you have created Projects/Committees, you can add the members currently involved in those projects/committees using this dropdown.
Sending Elections - Page Three: Review/Approval
This final page is straightforward. It displays the intended recipients at the top, followed by the email subject and a preview of the message. Press continue on this page to finalize and send the email notifications.
